Introduction
The report aims to compare different software options to select the most suitable software for our
project management. We started with 4 software options to see which works best for our group to
communicate with. We narrowed it down to our top 2 software options, GroupMe and Microsoft
Teams. Our Team wanted softwares that met our basic software requirements listed below.
Objectives:
โ—Initial 4 software options that meet baseline software requirements
โ—Narrow down to 2 software options
โ—Conduct user tests to identify effectiveness
โ—Discuss final results
Baseline software requirements:
โ—Be a free app or include many free features
โ—Have a calendar system
โ—Able to file share and screen share/ video and audio call
โ—Available on IOS, Android, and Desktop
Overview:
โ—In this report, we will discuss the methods used to narrow down our 4 software, the
results of all tests leading to our top 2 choices, a discussion explaining implications that
influenced our final decisions, and a reference section.
Methods
Identification of software options:
As a team, we first researched and identified 4 initial software options including GroupMe,
Google Docs, Microsoft Teams, and Dropbox to find the best option for group work.
Evaluation process:
We chose these software options based on our baseline requirements that considered factors such
as free app/features, calendar system, file/screen share, and availability on iOS, Android, and
desktop.
Justification: After completing multiple tests and research on the many software options it was
clear which 2 provided the best tools for our team. If our baseline requirements at minimum were
not exceeded we had no choice but to eliminate the software option. We picked GroupMe and
Teams to explore and take a deeper look into which software would best fit our needs.

GroupMe : โ— Completely free โ— Lacks calendar feature โ— Offers partial file/screen sharing โ— Available on mobile IOS, Android, and Desktop Microsoft Teams : โ— Free, but has paid advanced features โ— Offers a calendar with RSVP features โ— Full file/screen share features โ— Available on mobile IOS, Android, and Desktop Asana : โ— Partially free, but has some paid features โ— Built-in calendar โ— Easily able to share files/screen share โ— Available on mobile IOS, Android, and Desktop Google Docs : โ— Completely free โ— No calendar features/reminders โ— Able to share files, but not necessarily screen share โ— Mobile version not very accessible, should mainly be used on Desktop- lacks direct messages option unless all members are present on the same document

  • Scenario 1: The leadership team needed to add an important deadline to the calendar and also include RSVP invitations. This is a key feature to ensure all dates and times are communicated to the entire team.
  • Scenario 2: During an online zoom meeting team members needed to file share to present their findings on a specific topic the group was looking into.
  • Scenario test 1: To test these features within each software we ran them over the course of a week to ensure results were as realistic as possible. We were unable to run this test on GroupMe or GoogleDocs, which led to some team members falling behind in this scenario. An app that keeps everyone on the same page is essential to keep things running smoothly. Asana and Teams provided a calendar option, which worked amazingly. Asana lacked a RSVP option, which was key to this scenario. Teams provided both features needed leading to a successful week for our team.

project. Microsoft Teams especially provided greater abilities than our runner-up software GroupMe.

  • Teams provided our group with a completely free direct messaging app, a calendar system with many useful features embedded, file/screen share abilities, and the option to access the app on IOS, Android, and a desktop. All these abilities are so convenient and useful when it comes to communicating efficiently with team members.
